Introduction:

Email delivery issues to Outlook.com and Hotmail.com are common for server administrators, especially when using services like qmail/POSTFIX/Sendmail/WHM/cPanel/PLESK/etc. One typical problem is the sender’s IP being on Microsoft’s block list, leading to delivery failures. This guide will explain how to use Microsoft’s Smart Network Data Services (SNDS) and the Office 365 Anti-Spam IP Delist Portal for Delisting, along with setting up DMARC/SPF/DKIM/PTR records, to resolve these issues.

Understanding the Issue:

The failure message indicating that the sender’s IP is on Microsoft’s block list suggests that the IP has been flagged for spam or other suspicious activities. This message can have all kinds of errors in it. See the Full list on Microsoft’s Page.

Setting Up PTR Records (Required for accessing Microsoft’s SNDS for Email Validation, but can be worked around.):

PTR records are crucial for server identity verification. As stated these can be worked around if you do not control them but someone somewhere must have configured these for your server’s IP.

  1. Contact Your ISP: Request a PTR record setup for your mail server’s IP.
  2. The Lie that is “Consistency is Key”: The PTR Record could be set to anything as this is an old standard before the world started to run out of IPv4 Addresses. As long as it is set and resolvable to the hostname it is set to. Meaning if it is set to server.myrandomdomain.com then your A record for server.myrandomdomain.com should point to your server IPv4 Address. If it does not then this is broken.
  3. What if my ISP/Hosting Provider won’t support the change?: So if your hosting provider doesn’t allow you to change it (GoDaddy.com/HostGator/BlueHost/Etc…) you are ok with whatever they set it to. Then verify it is at least resolving to the Server IP and you can use something like Digwebinterface.com to see that it points to your server IPv4. Then move to the “Using Office 365 Anti-Spam IP Delist Portal for Delisting:“.

Using Microsoft SNDS for Email Server Validation:

  1. Access Microsoft SNDS: Visit the SNDS website.
  2. Register Your IP Address: Enter your mail server’s IP for monitoring.
  3. Review Data: SNDS provides valuable data on your IP’s health and reputation.

Using Office 365 Anti-Spam IP Delist Portal for Delisting:

If you don’t have access to PTR records or continue facing issues, use Microsoft’s Office 365 Anti-Spam IP Delist Portal.

  1. Visit Office 365 Anti-Spam IP Delist Portal: Go to Office 365 Anti-Spam IP Delist Portal.
  2. Submit Delisting Request: Enter your IP address and follow the prompts to request delisting.
  3. Provide Detailed Information: Include error messages and any corrective actions you’ve taken.

Submitting a Ticket to Microsoft:

For direct assistance, submit a ticket to Microsoft.

  1. Use these Tools: Services for Senders and ISPs
  2. Use the Troubleshooting Link: Refer to the link in your failure message.
  3. Complete the Delisting Form: Provide your IP, the error message, and remediation steps.
  4. Wait for Response: Microsoft will review your request and respond accordingly.

Giving Up and Moving to a 3rd Party SMTP Relay:

The struggle for email deliverability can be an extremely complicated one with SPF Records that you can create with tools like spfwizard.net or having to understand What a DKIM Record is and Where to Find Your DKIM Record? So we know all of this isn’t easy. Which is why we would also suggest switching your server email to Sendgrid which can be done at the server level or simply reach out to Help4Network.com which can complete the services for you for a low negotiated rate with a set SLA of when it will be done and when your emails should no longer have these issues. Oh, and did we mention the DMARC Record? DMARC Generator/DMARC Checker

Conclusion:

Navigating email delivery issues to Outlook and Hotmail requires a multifaceted approach, including using Microsoft’s SNDS and Office 365 Anti-Spam IP Delist Portal for Delisting, setting up SPF/DKIM/PTR records, and direct communication with Microsoft. These steps can significantly improve your email deliverability.
